Make it possible to link multiple projects together so that they are billed on the same invoice when you run billing

    As a consulting engineering firm, we also need the ability to link multiple projects together but bill them separately (instead of together). The reason we need to link them together is that we need to determine the backlog on the main contract. We have the main contract (set up as a project) with a city or municipality with a not to exceed amount. As we bid and are awarded different task order we set it up as a new project. The reason for this is that Acumatica does not allow task levels so as each task order awarded to us is set up as a new project with the subtask as the project task. We are however having a difficult time linking all these task projects to the main projects to be able to see how much in terms of dollar amount we have been awarded in task order and see how much is left on that not to exceed contract.

    I have just been asked about this feature by a customer just yesterday.  A customer might have different projects but would like to receive one AR Invoice.  When will this be available?

    Professional services, work with lots of projects, split by different Cost Centres, each employee is many a time linked to (but not limited) one cost centres.

    Clients for this industry have many a time many open projects which on a periodic basis need to be billed. Examples

    Real life Example (one of many):

    Audit Firm – Most of our local audit firms provide the following services to their clients. Many of their clients opt for 2 to 4 of these services

    • Periodic Audit – Managed by the audit department (cost centre)
    • Tax - Managed by the Tax department (cost centre)
    • Accounting - Managed by the Accounting department (cost centre)
    • Other - Managed by the corporate department (cost centre)

    In this case, in Acumatica our client needs to create each service as a separate project. They cannot create services as separate tasks under one project for the following management related reasons

    • Each cost centre is managed by a distinct Director who have 2 to 3 project managers responsible for all projects within same cost centre.
    • Each user is assigned to one cost centre. They should be able to log timesheets only against projects/ tasks within same cost centre
    • Audit and Accounting projects need to be opened/ closed on a yearly basis the others may stay open for several years. Managing around 4000 – 5000 projects every year is already very challenging, let alone managing these at task level

    The main limitation for this type of setup is Billing, as Clients want/ need to receive only one Invoice per month covering all services (projects) rather than receiving 3 or 4 Invoices per month which can become very confusing. The requirement is as follows

    • Link multiple projects together
    • Allow for the option to either send one or multiple Invoices (configuration on customer level)
    • Billing run should be able to distinguish and where required issue 1 Invoice including all linked projects for same customer.
    • On each Project à Invoice Tab. System should show both Total Invoice Amount and Amount applicable to current project.

    This is becoming a frequent request by customers in the Professional Services LOB. It is also becoming a show stopper in some instances, especially since Competitive products we are facing offer this feature. Any plans around this feature to be included? 

    Is there any workaround in the meantime?

    Most common scenario: A customer could have multiple projects but want to receive only one invoice. Many of our customers work with suppliers of large customers such as Ford etc. They have multiple active project with one Bill to address.
